Job Posting: Clerk/Deputy Treasurer
Status: Full-Time, Exempt, Non-Represented
Salary Range: $55,000 – $65,000 annually (DOQ)

Position Summary

The Village of Cambridge is seeking a qualified, motivated, and community-minded individual to serve as Clerk/Deputy Treasurer. This dynamic leadership role is essential to the effective and transparent operation of local government. Under the direction of the Village Administrator, the Clerk/Deputy Treasurer performs a variety of statutory, financial, and administrative responsibilities as outlined in Wis. Stat. §61.25 and Village of Cambridge ordinances and policies and serves as a critical link between the Village Board, staff, and the community.

Key Responsibilities

Clerk Duties (Wis. Stat. §61.25):

  • Serve as the Village’s official recordkeeper, maintaining all municipal records, ordinances, resolutions, and proceedings.
  • Administer all elections in accordance with Chapters 5–12 of the Wisconsin Statutes, working in coordination with the Wisconsin Elections Commission and the Dane and Jefferson County Clerks. Preparation and review of nomination papers and declarations of candidacy/non-candidacy, coordinating ballot layout and submission to the appropriate county for preparation, supervising election day processes, and ensuring the completion and timely submission of all required election reporting documents.
  • Attend Village Board and committee meetings; prepare agendas, minutes, and legal notices.
  • Issue and review licenses and permits and prepares them for the Village Board approval.
  • Provide support for municipal boards and commissions including Plan Commission, Board of Review, and others.
  • Manage grant reporting and administration (e.g., safety grant, recycling grants).
  • Ensure compliance with open meetings and public records laws.
  • Serve as a liaison to the public, ensuring effective communication and access to municipal services.

Deputy Treasurer Duties:

  • Assist with payroll, accounts payable and receivable, and other day-to-day financial operations.
  • Support annual property tax billing, collection, and reconciliation.
  • Assist with financial reporting, employee benefits administration, and internal controls.

Qualifications

Education & Experience:

  • Minimum: Associate’s degree in Public Administration, Business, Accounting, or related field.
  • Preferred: Bachelor’s degree and prior municipal experience.
  • An equivalent combination of education and relevant work experience will be considered.
  • Must be bondable.

Skills & Knowledge:

  • Strong understanding of Wisconsin municipal statutes, election laws, and accounting principles.
  • Proficiency with Microsoft Office and ability to learn municipal software (Workhorse).
  • Excellent communication, organizational, and interpersonal skills.
  • Ability to manage multiple tasks and deadlines while maintaining attention to detail.
  • Demonstrated commitment to public service and ethical governance.

Licenses & Certifications

  • Valid Wisconsin Motor Vehicle operator’s license and willingness to use their own transportation while performing required duties like making bank deposits. (Required)
  • Notary Public (preferred).
  • Certification by the Wisconsin Municipal Clerks Association (WMCA) required or willingness to obtain.

Work Environment & Schedule

  • Standard hours: Mon, Wed, & Thurs 7:30 am to 4:00 pm, Tues 9:00 am to 6:00 pm, and Fri 7:30 am to 1:00 pm.
  • Additional evening hours required for board/committee meetings and election administration.
  • Occasional lifting (up to 20 lbs.), driving, and physical tasks typical of an office environment.
